Letting agents are supposed to take the load off landlords and work for their best interest. However, the service quality can be a hit and miss. Many agents are part of traditional high street firms that earn more from selling properties. Lettings being a less sexy domain does not always get enough attention. And often larger companies treat landlords (or their staff) as just another number, moving them from one person to the next, affecting the client experience.

You do not have to wait until the end of a tenancy to switch your letting agent.
Changing letting agent while keeping the tenant
The process is straightforward. First and foremost, research and choose a new letting agent that meets your needs and expectations. Then read your current contract and check the terms on termination to understand the required notice period and any potential termination fees. Send a written notification to your current agent, stating your intention to terminate the contract, including the date you wish to end the agreement. That is it. As your new agent, we can take over the handover process once you have notified the outgoing agent.
✪ Record request
We will request copies of all paperwork linked to the property from the outgoing agent. That includes tenancy agreements, tenant identification, inventory check, deposit information, safety certificates, and any property specific documents such as warranties and guarantees. This allows us to build a thorough picture of the property and update our database.
✪ Tenant notification
We will inform tenants about the change in letting agents and provide them with the new contact information. The outgoing agent should also make them aware of the change. We will get in touch with the tenants to introduce ourselves and discuss rental payments, maintenance reporting, plus routine inspection advice.
✪ Handover day
We will collect keys from your previous agent as well as all original tenancy documents. For the landlord, get written confirmation from the outgoing agent that no monies are owed, and that everything that needs to be completed by them (and you) has been done.
✪ Meeting tenant
We will ask for a meeting at the property with the tenant, where we properly introduce ourselves, carry out an inspection, listen to their feedback and discuss any problems they may have. Most importantly, to let the tenant know that the line of communication is always open.
